One stock count for the shop, the web store and the shopping centre report

Shops lose sales when the till and the web store disagree about stock. I sync them, automate the monthly sales report many shopping centres ask tenants for, and add loyalty with proper consent. Integrations from €1,900.

Synced: shelf, till and web store show the same number. Sell something, or run a Saturday.

What gets synced, and which way

Every field has one master system. Two masters for the same field is how prices and stock drift apart. This is the typical starting design; yours is agreed in discovery.

DataDirectionWhenWatch out for
Stock levelstill <-> webOn every sale, through webhooks; polling every few minutes where the till offers noneBundles and variants: one sold set may use stock from three products.
Pricesmaster -> otherWhen changed, with a log entryShelf-edge labels: a web price change should not silently differ from the shelf.
New productsmaster -> otherOn creation, by EAN or SKUMissing barcodes. Products without an EAN or SKU cannot be matched safely.
Web ordersweb -> tillOn payment, so the till's daily sales include themVAT per rate must match on both sides for the accountant.

Tenant sales report builder

Many shopping-centre leases ask tenants for regular sales figures. Pick the period, the VAT basis and the format, and see the report the system would send on its own. Sample data from a made-up shop.

Loyalty, with consent you can show

A loyalty register is a personal-data register: it needs a privacy notice, only the data you use, and a way for members to see or delete theirs. Marketing by email or SMS needs prior, active consent. The exception is your own customers buying similar products, provided opt-out is offered when you collect the address and in every message.

Rules summarised from Finnish guidance at the time of writing. Check your own obligations with your privacy adviser.

When I would not build this

Custom code is a running cost. Sometimes the cheaper answer is already in your till's settings.

  • 01Your POS already offers a maintained connector for your web store. Switch it on; I can check its settings for an hour instead.
  • 02You sell a handful of products online a week. A daily manual update costs less than any integration.
  • 03Your till has no API and no reliable export. Moving to a till that has one is often cheaper than working around it.

From stock count to automatic report

    Match products

EAN or SKU for every product on both sides; gaps listed before any code.

  2. 2

    Pick masters

One system owns stock, one owns prices, written down and agreed.

  3. 3

    Trial week

Sync runs while you count a few products by hand. The numbers must agree.

  4. 4

    Automate the report

First centre report checked with you, then sent on schedule.

Questions about retail systems

Can you sync my till with Shopify or WooCommerce?

Usually, yes, if the till offers an API or a reliable export. Shopify and WooCommerce both have APIs for stock, orders and products. I make one system the master for each field, sync stock on every sale where the till allows it, and log every change. Check API access with your POS vendor first.

What do shopping centres need from tenants?

Many shopping-centre leases ask tenants to report sales regularly, often monthly, sometimes excluding VAT or split by period, through a file or a portal. The details differ per centre, so check your own lease. I automate the report from your till data in the required format so it goes out on time without retyping.

Is a loyalty programme worth it for one shop?

Sometimes. It pays when customers return often and you will actually use the data, for example to send offers to people who agreed to receive them. Marketing messages need prior consent, with an exception for your own customers buying similar products if opt-out is offered. A stamp card in the till may be enough.
